Billing software or a WMS?

A warehouse management system runs the floor: where things go, what to pick, what was scanned. Billing software turns what happened into invoices. WMS products built for 3PLs usually include billing, so the question a small pallet warehouse really faces is whether it needs the rest.

This page compares the two kinds of software, not brands. We make billing software, so read it with that in mind. Where a WMS is the better answer, it says so.

Billing software is probably enough when

  • Goods come in and go out as whole pallets, not picked by the case or the each.
  • Your crew already knows where each client's pallets are, because the building is small enough.
  • Clients don't need to see live inventory online or send you orders by EDI.
  • You don't track lots or expiry dates for anyone.
  • The pain is at month-end: invoices rebuilt from spreadsheets, charges missed, clients asking why a number is what it is.

In that case a WMS mostly adds devices, setup and training to solve problems you don't have, and billing is the part you actually needed.

You probably need a WMS when

  • You pick and pack orders, by the case or the each, rather than moving whole pallets.
  • You must trace lots or expiry dates, as with food, beverage or pharmaceuticals.
  • Clients store many different items and you need to find one fast.
  • Clients require a portal, advance ship notices or EDI.
  • Mistakes on the floor, not on the invoice, are what cost you.
  • You run several buildings and need one view of where everything is.

If that is you, buy a WMS with billing built in. Tallybay does not track locations, items or lots, and it will not grow into a WMS.

What you give up either way

Choosing billing software

  • No record of where a pallet sits, and no scanning that directs put-away or picking. A pallet tag can be written onto an entry as a note; it is not a location.
  • Inventory is a pallet count per client, not a list of items.
  • Someone enters receipts and shipments, from a phone or a spreadsheet import.
  • No client portal.

Choosing a WMS

  • Setup: locations, items and devices have to exist before it works.
  • The crew changes how they receive and ship, and needs training and hardware.
  • You pay for running the whole floor, not just for the invoices.
  • Billing is one module among many, so check its storage rules as carefully as its scanning.

Questions to ask any software that bills storage

  1. Can it bill per pallet per day, and per pallet per month both prorated and in full?
  2. How does it bill a pallet that arrives on the 28th and leaves on the 3rd?
  3. Does it apply free days per receipt, and a minimum monthly charge?
  4. Can it bill half-month or anniversary terms, if your contracts use them?
  5. When a rate changes mid-month, which days get which rate?
  6. Can you see which receipts and shipments produced each storage line?
  7. Is a mistake voided and reissued with the history kept, or edited in place?
  8. Can you export everything, and leave, whenever you want?

The guide to billing pallet storage shows what the right answers look like with numbers. Tallybay's own answer to question 4 is no, not yet.

If you might need a WMS later

Starting with billing does not lock you in. Keep your records in a form you can export: Tallybay exports clients, rates, activity and invoices as CSV at any time. The billing rules in your contracts stay the same whichever system applies them.
